Terms and Conditions

Your Appointment:

1. Once you request your booking for an appointment, we ask that you to wait so that we can review your request, we will notify you if your appointment is accepted. Here at Baby Scan Clinic we pride ourselves in using only highly qualified, experienced and professional sonographers regardless of gender - if you require a particular gender of sonographer carrying out your scan due to religious reasons then please give us a call and we will do our best to assist you.

2. If you would like to request an appointment outside of Monday - Friday 9am - 4:30pm, we require a supplement fee. This cost is £39 and is to cover the costs of keeping the clinic open after normal office hours. Alternatively you are free to book your appointment at a time where the fee is not applicable, subject to availability.

The following Bank Holiday dates will also require a £49 supplement fee: 3rd and 6th April, 4th and 25th May, 31st August, the 21st of December to to the 2nd of January.

Brand new Babyscan Clinic opened in London on Harley street.

Please be aware that over the Christmas period we will be closed for the following times and dates: 24th Dec 9:00 am - 1:00 pm, 25th,and 26th Dec will be closed. The 29th, and 30th Dec 9:00 am - 6:00 pm, 31st Dec 9:00 am - 1:00 pm. The 1st Jan will be closed but business will resume as normal from the 5th January. 

3. If you wish to re-arrange your appointment then we require at least 48 hours notice. The charge will remain valid if any amendments are made within this time. You must contact us directly to request such a change. With regards to cancellations please refer to section 18.

House Rules:

4 You must contact us If you are running late. Your appointment will always end as normal at the allocated time, meaning you will lose precious scanning time if you are late. If you are running too late then your appointment will be cancelled and you will be notified. Failure to comply with the above Rules will result in the cancellation of your appointment with the charge applied.

5 A maximum of one guest is permitted.

6 The receptionist is for the entire building and not Baby Scan Clinic, any questions or enquires should be made with us directly.

4D Premium Package:

7. We are able to carry out the 4D scan from 17 weeks plus, however your baby's features will be more developed and pronounced form 24 weeks of your pregnancy.

8. The 4D premium scan is non-diagnostic and for entertainment purposes only. Your sonographer will not be looking for anomalies, if your sonographer does notice something then you will of course be made aware. You will then be advised to obtain a further diagnostic scan on the NHS or privately if you so wish. If you wish for a health check of your baby, then please book a diagnostic scan.

9. If you do not wish to know the gender of your baby then please make your sonographer aware. If this is the case then your sonographer will not direct the probe towards the genitals. You do not need a full bladder for this type of scan. Be aware that the gender determination if you do opt for this, will be carried out in 2D as standard.

10. Results will vary depending on the position of the baby and the BMI of the mother. For example if your baby is facing towards your spine you may only be able to view the rear of your baby's head, or if your baby is pushing in to your placenta or the wall of your womb then your pictures may not be as clear. In these instances if you would like a rescan, then they are available for £79 and can be made with us directly on 020 7099 9644.

We have one of the lowest rescan rates in the UK. Less then 1% of patients are re-scanned due to baby positioning. As of 2013 we donate the full re-scan price to Great Ormond Street Children's Hospital.

11. Appointments will take a maximum of 30 minutes, with the length of the DVD being approximately 6 minutes depending on the aforementioned factors. Please ensure that you have made the booking team aware of your Worldpay ID or Voucher Code before your appointment.

Twin pregnancy:

12. If you are having Twins, a supplement charge of £49 will be required at the time of booking and you will be allocated a 45 minute appointment as opposed to the standard 30. To make an appointment for twins please call us directly.

Early Pregnancy Scan:

13. This scan takes 15-20 minutes and will be in addition to your routine NHS scan. You will be scanned abdominally in the first instance, should the sonographer not be able to gain a clear image of your baby then an internal transvaginal probe may be used. Your sonographer will be happy to discuss this with you. Please do not empty your bladder before this scan as this can help with the clarity of images. Please bring along a chaperone (partner or friend) for this type of scan, in order for the transvaginal scan to be carried out if necessary.

Gender Scan:

14. Although a very high probability, no gender scan is 100% accurate. If the baby's genital area cannot be seen clearly, then you have the option of returning for a reduced Gender Scan fee of £79. You do not need a full bladder for this type of scan. Be aware that the gender determination will be carried out in 2D as standard.

Harley Baby Upgrade:

15. The measurement and weight report does not contain details of the baby's health. If you require a specific health and well being check for your baby then please contact us and we can arrange for to be booked in for a diagnostic scan.

16. The Unique Birth Plan outlines your preferred options for your pregnancy and labour, however you are advised to remain flexible as your clinical circumstances may change. Please speak to your midwife about this for more information. If you require the services of a midwife of doctor, then please speak to us on 020 7099 9644.

17. On the day of your scan you will receive 3 colour images, your DVD recording of the highlights of the scan, a pregnancy music CD and all digital images. Your Unique Birth Plan, access your Pregnancy Support Videos, and your Measurement Report will be sent to you via email within 48 hours.

Refunds & Complaints:

18. We do not offer refunds. This does not affect your statutory rights.

19. It is very rare that a complaint is raised however If you wish to raise an issue then this must be made to us directly on 020 7099 9644, to appt@babyscanclinic.com or in writing to the address supplied in Section 18. A full investigation and review will then take place, and a written response will then be sent to you upon completion.

20. Our Sonographers will not be subject to any intimidation nor will any physical or verbal abuse be tolerated. Any issues must be raised with the booking team directly on appt@babyscanclinic.com or on 020 709 99644. If the Sonographer feels in any way threatened or intimidated then an alarm will be raised and the police called immediately.

Access to the building:

21. Should you require any assistance gaining access to the building then please do let us know 48 hours in advance of your appointment. We have steps leading up to the door from the street, and a small door threshold. We do have ramps to gain access to the building, however given that 130 Harley Street is a listed building and (although Westminster City Council allowed the construction of lift shafts as recently as the 1990s) they no longer do so and consequently there is no lift present in the building. We sincerely apologise if this causes any inconvenience.
